  1. Purpose of Position

Responsible for handling all aspects of the payroll cycle and all tax reports. 

  1. Essential Duties and Responsibilities
  • Downloads finalized payroll for all counties from Hometrak or Clear Care into a spreadsheet then calculates totals by county caregivers.
  • Updates ADP and Hometrak or Clear Care for new employees.
  • Imports & keys completed counties payroll sheets into ADP.
  • Audit Clear Care & send back to offices for correction.
  • Reconciles ADP with payroll sheets and sends payroll data to ADP.
  • After receiving live checks from ADP, records them in a spreadsheet; then mails them out.
  • Reconciles adjustments for manual checks that were reported on an ADP spreadsheet to Financial Edge.
  • Gives completed reconciliation report to Finance Director.
  • Prepares COPE and Union Dues Invoices for accounts payable for payment every pay period.
  • Prepares SEIU Training invoice for accounts payable for payment every pay period.
  • Responds to employment verification requests.
  • Process correct garnishment calculations and compliance.
  • Enrolls and terminates employee benefits in the ADP system.
  • Prepares report on union dues owed.
  • Checks SEIU insurance bill with active payroll deductions.
  • Respond to payroll queries from employees in a timely manner.
  • Assists with preparation for all counties, programs, and accounting audits.
  • Prepares L & I report and sends it to The Washington state department of Labor Industries.
  • Prepares unemployment report and send it to 501 agency.
  • Maintains all the tax (L&I, SUT and 941) binders.
  • Attend all meetings and trainings as required.
  • Assists with special projects as assigned.
  • Understand proper taxation of employer paid benefits.
  • Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc).
  • Process manual checks. 
  • Develop ad hoc financial and operational reporting as needed.
  • Fill-in as front desk assistant as scheduled.
  • Ensure that employee payroll processing is in compliance with federal and state laws.
  • Assist in payroll accounting, transactions, reporting, stop payments and other operations.
  • Review payroll reports and timesheets for correctness before payroll transactions.
  • Analyze payroll issues and recommend corrective actions.
  • Maintain payroll system up-to-date and accurate.
  • Maintain employee payroll records and timesheet data for future references.
  • Process 401K/ROTH each pay period transfer data to TransAmerica.
  • Process year end 401K/ROTH report transfer data to PPA. 
  1. Position Requirements and Qualifications
  • Must pass criminal history and reference checks.
  • Ability to deal sensitively with confidential material.
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.
  • Organizational, multi-tasking, and prioritizing skills.
  • Working knowledge of payroll best practices.
  • Strong knowledge of federal and state compensation regulations.
  • Strong PC skills including proficiency in Excel.
  • Ability to work with people of diversity.
  • Working knowledge of ADP payroll system. 
  • Educational Level

High school diploma, GED or foreign equivalent. Associate degree in accounting is preferred.

3.2      Experience

Minimum 2 years of experience processing payroll and related functions.

Available to work full time 40 hours per week.

  29. Clarity of vision at 20 inches or less.
  30. Mid-range vision:
  31. Clarity of vision at distance of more than 20 inches and less than 20 feet.

  33. Clarity of vision at 20 feet or more.
