  1. Purpose of Position  MUST SPEAK KOREAN

Under immediate supervision, provides responsible front desk support and assistance such as answering telephone, taking messages, filing, operating office equipment, receiving visitors and other clerical duties as assigned.  Interaction with staff and public is an integral part of this position.  After initial guidance, employee performs recurring assignments without specific instruction and resolves day to day problems under available guides.  Assistance is readily available on unusual or questionable transactions.  The manager/supervisor spot checks the work, or it is reviewed in the course of subsequent processes.

 Essential Duties and Responsibilities

  1. Meets and greets public, answers all incoming calls and refers them to the appropriate person(s). Maintains an accurate record of essential calls and inquiries.
  2. Provides clerical/administrative support as directed or as required.
  3. Responsible for phone service and messages involving the answering service.
  4. Answers a variety of inquiries and gives limited responses or refers matters to others.
  5. Maintains mailing lists, agency phone directory and agency email list.
  6. Assists in locating and compiling data for reports.
  7. Operates and cares for commonly used office machines and equipment and notifies office manager when maintenance or repairs are needed.
  8. Serves as member of committees, as directed.
  9. Works on, researches and completes special projects as assigned.
  1. Addresses, stamps, mails, receives and sorts incoming and outgoing correspondence, arranges shipping services and delivers to post office, if necessary.
  2. Maintains, cleans and stocks office kitchen as needed.
  3. Clean and maintain lobby area by removing trash, cleaning windows and vacuuming.
  4. Attend training as assigned.
  5. No personal use of cell phone or internet searching during work hours.
  6. Some offices have more than one department represented.  This position provides support to all departments in that office. 
  1. Position Requirements and Qualifications
  • Satisfactorily pass criminal history & reference checks;
  • Experience using various types of office equipment, i.e. copier, fax, scanner, etc.;
  • Experience using multi-line phone system preferred;
  • Must have excellent interpersonal, communication & organizational skills;
  • Ability to work independently and cooperatively with others;
  • Ability to maintain confidentiality;
  • Ability to be flexible and perform work under time pressure;
  • Ability to work with people of diversity;
  • Proficient in MS Office Suite, eg. Power Point, Excel, Word, etc and
  • Must be bilingual Korean/English. 
  • Educational Level -- High School Diploma, GED or foreign equivalent required. Some college preferred.
  • Experience Minimum 1 year office administrative experience.

  5. Physical demands:
  6. Type: sedentary work ability to perform administrative duties, typing, filing, bending over to low files, reaching high files;
  7. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move an object; and
  8. Work involves sitting most of the time, but may involve walking, twisting, standing, bending and driving for extended periods of time.

  10. Ability to work 40 hour week and on call when necessary.

  5. Clarity of vision at distance of more than 20 inches and less than 20 feet.

  7. Clarity of vision at 20 feet or more.
